Glossary

Look up any word WeLearn uses on its screens and find the page that explains it.

The words WeLearn uses, in alphabetical order, spelled the way the screens spell them. Where a page covers the subject in full, the entry links to it.

A

Administrator The highest role inside an organisation. An Administrator can do everything a Manager can, and also manages members, invitations and the organisation's settings. See Roles and what they can do and the Administrator quickstart.

Archive, Archived Retiring a published training. An archived training no longer appears in the Catalog for Employees, though Managers and Administrators can still list it with ⊘ Archived, and nobody can enroll in it. Archiving cannot be undone, and it also deletes any revision still open on the training. See Publishing, revisions and archiving.

Attempt One run through a training's evaluations. The author decides how many attempts each learner gets: 1, 2, 3, 5 or unlimited. A learner who has an attempt left can start again with Retry Training. See Building evaluations.

B

Badge A reward you earn for a milestone, shown on the Achievements page. Badges come in tiers (Bronze, Silver, Gold, Platinum). Some are secret: their name and condition stay hidden until you earn one. Quests can also award an exclusive badge, kept under Quest trophies. See Gamification.

Block What an author adds to a training in the editor, with Add block: a Text block, a Link block, or one of the exercises in the Questions group. Each block becomes one section for the learner, which is why a training card counts "sections". The publish checklist calls the same thing a "content element". See Content blocks reference.

C

Catalog The list of every published training in your organisation, under Catalog in the sidebar. You can filter it by Topics, Level, Authors and Language, and narrow it to mandatory or saved trainings. See Finding trainings.

Certificate A PDF document that records one passed cycle of a mandatory training. It carries a verification code so that someone outside WeLearn can check it. Download yours from Analytics › My learning. See Mandatory trainings and certification.

Certification Your standing on a mandatory training once you have passed it. If the training has a validity period, the certification expires after it and you take the training again to renew it; otherwise it does not expire. A certification reads Certified, Expiring soon, Expired, Overdue or Never certified. See Mandatory trainings and certification.

Collaborator Someone the authors of a draft invited to edit it with them. Collaborators work on the same draft and are listed under Invited in the invite dialog, where Co-authors lists the authors only. On the published training, every collaborator who changed something is credited under Authors. Compare Reviewer. See Co-authoring and reviewing drafts.

Cycle One round of certification on a mandatory training, numbered from 1. Passing closes the current cycle; renewing starts the next. The training page shows it as Cycle, the certificate as Certification cycle. See Mandatory trainings and certification.

D

Deadline, Due date The date by which you should finish a training you were enrolled in. A Manager can set it as Due date when enrolling you, and the training page shows it as Deadline. On a mandatory training the date you must certify by appears as Due by. See Enrolling people.

Draft A training that is not published yet. A draft never appears in the Catalog. Its authors see it in My Trainings › Authored, people invited to it see it under Shared with me, and Managers and Administrators can open it with its link. See Author quickstart.

E

Element See Block.

Employee The standard role every member starts from. An Employee takes trainings, writes trainings of their own, and grades peer reviews when asked. See Roles and what they can do.

Enrollment Your place on a training: it holds your progress, your score and, for a mandatory training, your certification. You enroll yourself by starting a training, or a Manager enrolls you, in which case you receive a notification. See Taking a training and Enrolling people.

Evaluation Any block that checks what the learner knows, listed under Questions in the editor. There are seven kinds: Quiz, Ordering, Matching, Categorization, Numeric, Cloze and Peer review. WeLearn grades the first six on its own; a person grades a peer review. See Answering each exercise type and Building evaluations.

F

Feedback timing When a learner finds out whether their answers were right. Immediate shows the result after each question; At the end shows results only once the training is finished. The author sets it once for the whole training. See Building evaluations.

G

Group A named set of members, such as a team or an office, listed under Users › Groups. Managers and Administrators create groups. A group can carry required trainings, and it gives you a leaderboard to rank in. See Groups and required trainings.

L

Leaderboard A ranking of the XP earned this week among the members of one of your groups or one of the topics you follow. It resets every Monday. You can leave leaderboards in your settings with Appear on leaderboards; turning it off also hides them from you. See Gamification.

Level Your rank on the XP scale, shown as Lv next to your XP. Your level rises as your total XP grows, and WeLearn notifies you each time you reach a new one. Not to be confused with the Level filter in the Catalog, which is a training's difficulty. See Gamification.

Link block A block that lists links to outside resources, such as articles, videos or documentation. The block has a title and an optional description; each link has its own title and URL, and opens in a new tab. Nothing in it is graded. See Content blocks reference.

M

Manager The role between Employee and Administrator. A Manager enrolls people, manages groups, runs quests and seasons, follows the team's compliance and sees team analytics. See Roles and what they can do and the Manager quickstart.

Mandatory training A training a Manager or Administrator has marked Mandatory training in its editor. It carries the Mandatory badge, appears in the compliance reports, and a pass gives you a certification. Marking a training mandatory enrolls nobody: people are enrolled separately, by hand or through a group's required trainings. See Mandatory trainings and certification, Authoring a mandatory training and Running compliance for your team.

N

Nudge A reminder a Manager sends from Team compliance to people who are behind on mandatory trainings. Each person receives one notification listing everything they owe. Someone nudged recently is held back from another nudge for a while. See Running compliance for your team.

P

Passing score The minimum percentage a learner needs to pass a training. It is compared with the plain average of every evaluation in the training, not with a single quiz. With No threshold, the default, finishing the training is passing. See Building evaluations.

Peer review An evaluation that a person grades instead of WeLearn. The learner writes a response to a brief, and a reviewer records Pass or Needs more work, with optional feedback. The learner's section completes only once a reviewer has decided. See Setting up peer review and Reviewing a peer's submission.

Platform administrator The person who runs WeLearn itself rather than one organisation. A platform administrator approves requests for new spaces and manages every organisation, under Organisations in the sidebar. This is separate from the Administrator role inside an organisation. See Platform administration.

Published A training that is live in the Catalog, where members can enroll. A published training is never changed in place: editing it opens a revision. See Publishing, revisions and archiving.

Q

Question bank A quiz setting that draws a different subset of its questions on every attempt, so a retake cannot be passed from memory. Each learner only sees their own draw. See Building evaluations.

Quest A time-boxed challenge a Manager issues, such as completing a number of trainings, optionally on one topic, before an end date. Completing it earns bonus XP and sometimes an exclusive badge. Open quests are listed on the Quests page. See Running quests and seasons and Gamification.

R

Required training A published training a group requires all its members to hold. Everyone in the group is enrolled, including people who join later, without anyone doing it by hand. See Groups and required trainings.

Reviewer The word has two meanings.

  • On a draft: someone the authors invited with the Reviewer access level. They can view and play the draft and leave review notes, but cannot edit it. See Co-authoring and reviewing drafts.
  • On a peer review: someone allowed to grade learners' submissions. Unless the author names people or groups under Reviewers on the Publish step, the training's authors grade. A learner can never grade their own work. Submissions waiting for you are on the Reviews page. See Reviewing a peer's submission.

Revision A new draft of a published training, opened when an author edits it. Learners keep seeing the published version until the revision is published, which creates a new version. A revision can also be discarded, leaving the published version as it was. See Publishing, revisions and archiving.

S

Season A named period, such as "October Security Month", that a Manager opens to group several quests under one banner. See Running quests and seasons.

Section One part of a training as the learner sees it. Each block the author adds is one section. See Block.

Streak The number of working days in a row on which you completed some learning; finishing the daily puzzle counts too. Weekends and public holidays do not break it. Freeze tokens cover a missed working day so the streak survives. See Gamification.

T

Text block A block for lesson content: formatted text, images and embedded YouTube or Vimeo videos. Nothing in it is graded. The editor's Add block menu calls it Text. See Content blocks reference.

Thematic Another name for Topic. Some screens use it, such as search results, leaderboards and the quest form.

Topic A subject tag on a training, such as "Security" or "Onboarding". Every published training has at least one, unless an Administrator deletes its only topic. Topics are shared by the whole organisation, and you can follow one to rank on its leaderboard. Some screens call a topic a thematic. See Topics.

Training A course on WeLearn: a title, a description and an ordered set of sections, some of which may be evaluations. Any member can write one. See Taking a training and the Author quickstart.

V

Verification code The code printed on a certificate. Anyone can enter it on WeLearn's public verification page, without an account, to check the certificate was really issued. Spaces in the code do not matter. See Verifying a WeLearn certificate.

Version Each published state of a training, numbered v1, v2 and so on. Publishing a revision creates the next version. Earlier versions stay reachable from the version selector on the training page, which has no visible label, appears only once there are two versions or more, and only for the training's authors, Managers and Administrators. See Publishing, revisions and archiving.

X

XP Experience points. You earn XP by completing sections, evaluations and whole trainings, by finishing the daily puzzle, and as bonuses from quests. XP sets your level and your place on the leaderboard. See Gamification.
